Understanding Availability

Items can have three availability states:

86'ing Items (Mark Unavailable)

When you run out of an item, mark it as "86'd" (restaurant term for unavailable).

From the Menu

  1. Open the Menu screen
  2. Find the item (use search or browse categories)
  3. Long-press or tap the item's menu
  4. Select "Mark Unavailable" or "86 Item"
  5. Choose duration:
    • Until restored - Stays 86'd until you mark it available
    • Until end of shift - Auto-restores at shift change
    • Until tomorrow - Auto-restores at opening
  6. Confirm

Voice Command

Say to Maximus:

  • "86 the fish tacos"
  • "Mark chicken wings unavailable"
  • "We're out of chocolate cake"

Maximus will confirm and 86 the item.

What Happens When Item is 86'd

Restoring Items (Un-86)

When stock is replenished, restore the item:

From Menu

  1. Open Menu screen
  2. Find the 86'd item (has strikethrough or gray)
  3. Tap the item's menu
  4. Select "Mark Available" or "Restore Item"
  5. Confirm

Voice Command

  • "Restore the fish tacos"
  • "Chicken wings are back"
  • "Mark chocolate cake available"

Automatic Restoration

Items 86'd with a time limit restore automatically:

  • End of shift: Restores when shift changes
  • Tomorrow: Restores at scheduled opening time

Stock Level Tracking

If your location uses inventory tracking, you can view and update stock levels.

Viewing Stock Levels

  1. Open Menu > Select item
  2. View Stock Level indicator:
    • Green bar: Plenty in stock
    • Yellow bar: Low stock warning
    • Red bar: Critical/out of stock

Updating Stock Count

Best Practice for Inventory Counts

Count inventory at the same time each day for consistency. End-of-shift counts are most accurate since you know exactly what was used during service. Always add a note explaining what changed.

If you have permission:

  1. Open item details
  2. Tap "Update Count"
  3. Enter current count (or use +/- buttons)
  4. Add note (optional): "Received delivery" or "Physical count"
  5. Save

Low Stock Alerts

The system proactively alerts staff about low stock items.

Dismissing Alerts

  1. Tap the Alert Bell icon
  2. View low stock alerts
  3. For each item:
    • Acknowledge - Dismiss for this shift
    • 86 Item - Mark unavailable immediately
    • Restock - Update count if restocked

Modifier Availability

Modifiers can also be 86'd independently:

86 a Modifier

  1. Go to Menu > Modifiers
  2. Find the modifier (e.g., "Extra Cheese")
  3. Mark as unavailable

Effect on Orders

  • Items with 86'd required modifiers show warning
  • Optional modifiers simply don't appear
  • Staff sees notification if adding item with 86'd modifier

End of Day Inventory

For locations doing daily inventory counts:

Quick Count

  1. Go to Manager > Inventory > Quick Count
  2. Count listed items
  3. Enter quantities
  4. Submit count

Variance Alerts

If count differs significantly from expected:

  • System flags for manager review
  • Possible causes: waste, theft, receiving errors
  • Manager can approve or investigate

Common Scenarios

"We just ran out during service"

Quick 86

Say "Hey Maximus, 86 the salmon" to instantly mark an item unavailable. The system automatically hides it from customer apps, kiosks, and online ordering within seconds.

  1. Inform expo/manager
  2. Suggest alternatives to guests who ask

"Delivery just arrived"

  1. Go to receiving area
  2. Update stock counts for delivered items
  3. Restore any 86'd items that are back in stock

"Customer asking if item available"

  1. Check item on menu (green = yes, gray = no)
  2. If low stock, check with kitchen before promising
  3. Voice: "Hey Maximus, do we have fish tacos?"

"Manager wants to know what we're low on"

  1. Go to Dashboard > Low Stock widget
  2. Or Reports > Inventory > Low Stock Report
  3. Shows all items below threshold

Permissions

Role-Based Access

Only Shift Leads and Managers can restore 86'd items and update stock counts. Servers can view stock levels and 86 items but cannot restore them.

Troubleshooting

Item shows available but we're out

  1. 86 the item immediately
  2. Check if auto-86 setting is enabled
  3. Verify low stock threshold is set correctly

86'd item still showing on customer app

  1. Allow 1-2 minutes for sync
  2. Check customer's app is online
  3. If persistent, contact support

Stock counts seem wrong

  1. Verify receiving was logged
  2. Check for waste/comp entries
  3. Do physical count and update
  4. Report discrepancy to manager
