Accessing Staff Management

  1. Log in as manager
  2. Go to Staff in navigation
  3. Or say "Hey Maximus, show staff"

Scheduling

Creating Shifts

  1. Go to Schedule tab
  2. Select the week
  3. Tap a time slot
  4. Assign employee
  5. Save

Publishing Schedule

  1. Complete all shifts
  2. Tap "Publish"
  3. Staff receive notifications

Time Clock Review

View Clock Records

  1. Go to Time Clock tab
  2. Select date range
  3. See all clock-ins/outs

Making Corrections

  1. Find the record
  2. Tap "Edit"
  3. Adjust time
  4. Add reason
  5. Save

Labor Costs

Real-Time Labor Tracking

View current labor metrics:

Target Labor Percentage

  • Fast casual: 25-30%
  • Full service: 30-35%

Set alerts when exceeding targets.


Overtime Management

Overtime Alerts

Get notified when employees approach overtime:

  1. Go to Settings > Labor
  2. Set overtime threshold (default: 40 hrs/week)
  3. Set alert at X hours before threshold
  4. Receive push notifications

Viewing Overtime Status

  1. Go to Staff > Hours
  2. Red indicators show approaching overtime
  3. Tap employee for weekly breakdown

Staff Notifications

Send Announcements

  1. Go to Staff > Messages
  2. Tap New Announcement
  3. Type message
  4. Select recipients (all, role, individual)
  5. Send

Shift Reminders

Automatic reminders sent:

  • 24 hours before shift
  • 1 hour before shift
  • When schedule changes

Adding New Employees

  1. Go to Staff > Add Employee
  2. Enter details:
    • Name
    • Email/phone
    • Role
    • Hourly rate
  3. Set permissions
  4. Create login credentials
  5. Tap Save

New employee receives welcome email with login instructions.


Troubleshooting

Schedule Not Publishing

  1. Check all required shifts are filled
  2. Verify no conflicts exist
  3. Ensure you have publish permissions
  4. Try logging out and back in

Time Clock Discrepancy

  1. Review punch times
  2. Check for missed punches
  3. Verify location data
  4. Make manual correction with reason

Employee Can't Log In

  1. Verify account is active
  2. Reset their PIN if needed
  3. Check they're assigned to location
  4. Ensure role has login permissions

Best Practices

  1. Publish early - Post schedules 2 weeks ahead
  2. Review daily - Check clock-ins each morning
  3. Monitor overtime - Keep labor costs controlled
  4. Update roles - Keep permissions current
  5. Recognize top performers - Use performance data
