Overview

The HR system provides:

  • Employee Records - Personal info, contacts, job history
  • Document Management - I-9, W-4, certifications
  • Onboarding Workflows - New hire checklists
  • Compliance Tracking - Certification expiration alerts
  • Self-Service - Employees update their own info

Accessing HR

  1. Go to Manager > Staff > HR
  2. Or say "Hey Maximus, show HR"

Adding an Employee

  1. Click + Add Employee
  2. Enter basic information:
    • Legal name
    • Preferred name
    • Email and phone
    • Start date
  3. Assign role and location
  4. Save - employee receives onboarding invite

Employee Profile

Each employee profile contains:

Editing Employee Info

  1. Click on employee name
  2. Select tab to edit
  3. Make changes
  4. Click Save
  5. Changes logged in history

Uploading Documents

Manager upload:

  1. Go to employee profile
  2. Click Documents tab
  3. Click Upload Document
  4. Select document type
  5. Choose file
  6. Set expiration (if applicable)
  7. Click Upload

Employee upload (self-service):

  1. Employee receives onboarding link
  2. Employee uploads from their device
  3. Document appears for manager review

Document Verification

For documents requiring verification:

  1. Click on pending document
  2. Review the document
  3. Mark as:
    • Verified - Acceptable
    • Rejected - Issue found (add note)
  4. Employee notified of status

Offboarding

Termination Process

  1. Go to employee profile
  2. Click Actions > Terminate
  3. Select termination type:
    • Voluntary (resignation)
    • Involuntary (termination)
    • End of season
  4. Enter last day worked
  5. Complete offboarding checklist
